How to create a business email on your own domain

An address like name@yourcompany.com tells customers, suppliers and government portals that they are dealing with a real company, not a personal Gmail account. This guide walks through the whole setup, from the domain to the first mailbox, using Skyline Mail, which is hosted in Saudi Arabia.

What a domain email is

A domain email (also called a company email or professional email) uses your own domain name after the @ sign instead of a free provider’s. Three things change when you switch:

  • Trust. Invoices, quotations and tender documents sent from accounts@yourcompany.com are less likely to be ignored or flagged as fraud than ones sent from a free address.
  • Ownership. The company owns the addresses. When an employee leaves, the mailbox stays with the business and can be handed to a colleague.
  • Control. You decide who has a mailbox, add shared addresses such as sales@, and protect the domain against people sending forged mail in your name.

What you need

  1. A domain name, such as yourcompany.com, yourcompany.sa or yourcompany.com.sa.
  2. A mail host that stores the mailboxes and sends and receives the mail. That is the part Skyline Mail provides.
  3. Access to the domain’s DNS, which is where you tell the internet that mail for your domain goes to your mail host. If you do not manage DNS yourself, whoever registered the domain for you can make the changes.

Your website does not have to move. Mail uses its own DNS records, so the site can stay with its current host while email moves to Skyline Mail.

Step 1: Choose your domain

If the company already has a website, use the same domain for email so customers see one name everywhere. If not, pick a short name that is easy to spell over the phone and to type on a mobile keyboard.

  • .com is recognised everywhere and suits companies that also trade outside the Kingdom.
  • .sa and .com.sa signal a Saudi business. They are managed by SaudiNIC and have their own eligibility rules, so check those before you choose; .com.sa, for example, is meant for registered commercial entities.

Skyline Mail works the same way with any of these. If you do not own a domain yet, you can search for and register one from the Skyline Cloud console when you set up your mail.

Step 2: Choose a mail plan

Skyline Mail is priced per mailbox per month, in Saudi riyals. You can mix plans across the team, for example Business for a shared inbox and Lite for most staff.

Step 3: Publish the DNS records

When you add your domain in the console, Skyline Cloud generates the records for it, including a DKIM key that is unique to your domain. How you publish them depends on where the domain’s DNS is hosted:

  • On Skyline Cloud’s nameservers (ns1.alskyline.com and ns2.alskyline.com): we publish the records for you.
  • Anywhere else (your registrar, Cloudflare, your web host): copy the records from the console into your DNS provider. The console checks them and tells you when each one is correct.

Only one SPF record per domain. If the domain already has a TXT record starting with v=spf1 (for example because your website or CRM sends mail), do not add a second one. Merge them into a single record, such as v=spf1 include:_spf.alskyline.com include:your-other-service -all. Two SPF records make both invalid.

DNS changes usually take effect within minutes to a few hours, depending on the old records’ TTL. Until the MX record is live, mail keeps arriving at your previous provider, so plan the switch for a quiet time and keep the old service running for a few days.

Step 4: Create mailboxes and addresses

Create a mailbox for each person who needs to sign in, then add shared and role addresses:

  • Personal mailboxes: a consistent pattern such as firstname@ or firstname.lastname@. Decide on it early and use it for everyone.
  • Aliases: extra addresses that deliver into an existing mailbox, such as info@ into the manager’s inbox. Each plan includes aliases; see the plan comparison for how many.
  • Shared mailboxes (Business plan): one inbox several people work from, such as sales@ or support@.
  • Forwarding: send copies of a mailbox’s mail to another address.

Give each mailbox a recovery email so people can reset a forgotten password themselves, and ask staff to turn on two-step verification for webmail.

Step 5: Sign in and connect devices

Every mailbox can sign in to webmail at mail.alskyline.com straight away. To add the account to Outlook, an iPhone or an Android phone, follow the setup guide for Outlook, iPhone and Android, which lists the exact server settings.

Moving from another provider

If you already have mail on the domain with another provider (Google Workspace, Microsoft 365 or a hosting company), the order matters:

  1. Create the same mailboxes in Skyline Mail first.
  2. Copy the existing mail across. Our team helps you move existing mailboxes so nothing is lost.
  3. Switch the MX record, then update SPF, DKIM and DMARC.
  4. Run a final copy to pick up anything that arrived at the old provider during the switch, then close the old service.

Common questions

Can I keep using Gmail or Outlook as the app?

Yes. The address and the mailbox live on Skyline Mail; the app is your choice. Outlook, the iPhone and Android mail apps, the Gmail app on Android and the Skyline Mail app for iPhone all work with it.

On Skyline Cloud servers in Riyadh, Saudi Arabia.

Can I use more than one domain?

Yes. Add each domain in the console and publish its records; mailboxes on all of them are managed in the same place.
